Best Free Project Management Software Comparison Criteria

What do I look for when selecting the best free project management software? Here’s a summary of my evaluation criteria:

  1. User Interface (UI): What kind of customization does the software provide? Is the navigation and UI well-organized? Are there too many features or options for your business? How user-friendly is the navigation aspect?
  2. Usability: Is it easy to learn and master? Does the company offer good tech support, user support, tutorials, and training? Does the free version offer enough tools or premium features to make the software useful for your business or team? Is there a mobile app? What about intuitive automation?
  3. Integrations: How easy is it to connect with other tools? Are there pre-built integrations? How many third party applications can the software integrate with? Are there messaging integrations?
  4. Value for $: How appropriate is the free plan for the features and capabilities, with respect to your use case? Does it include useful project management features such as time tracking, timesheets, or custom fields for creation?

The Best Free Project Management Software Comparison Criteria Overviews

You can find our project management software comparisons below. Here are the best free project management apps:

2

TeamGantt

Best for creating Gantt charts

Used by Amazon and Netflix, TeamGantt is a project management tool with a freemium version for smaller groups and teams who don’t yet need an upgrade to a paid plan. Obviously, TeamGantt specializes in Gantt charts and other task planning capabilities but they also track workloads and team availability, offer collaboration features like chat and tagging, and offer customizable alerts.

The free version of this tool limits you to 3 users and 1 project, which is a constraint users should be aware of. The dependencies can be a bit tricky to navigate, as the more you have of them, the more likely a wrong move will shift everything you have done.

TeamGantt scores well in the Usability segment of the evaluation criteria, as it is incredibly flexible to use. The tool accommodates however you may want to set up and track your projects, no matter their structure or constraints. Additionally, providing an easy “read-only” URL makes it great for sharing with outside parties for input.

TeamGantt is free to use for up to 3 users.

Best for team collaboration and communication

Redbooth is a well-rounded and flexible project management tool that can be adapted for use in small and mid-sized teams. Something unique about Redbooth is that they rolled out an AI component in early 2018: “Smart Redbooth”. It uses a prediction algorithm for various aspects of task assignment, such as selecting the best member for the task or predicting the amount of time needed to complete the task.

Redbooth features include multiple task management views (timeline, list, and board views), dashboards, and reports, whose intuitive graphic visualizations are above average. Right now, their communication tools include comments and HD video meetings (available in the Pro plan at $9/user/month), and a group chat feature is on their roadmap. Redbooth also provides higher-level project management tools such as Gantt charts and the ability to turn work processes into templates.

Free Project Management Software FAQ

Is there a free Microsoft Project Management software?

Microsoft software is essentially ubiquitous as the industry standard for many. While you can use certain Microsoft tools online for free, like Word, PowerPoint, Excel, and OneNote, there is no project management-dedicated free software from Microsoft. Microsoft Project starts at $12.80/user/month and the on-premise version starts at $769.00.

Should I use free agile project management software?

Some teams are going to require the larger feature set of paid agile project management software. However, many do not. If you answer “Yes” to any of the following, you would probably be a good candidate for free PM software:

  • Do I work with a smaller team of between 3-5 people?
  • Do I manage only 1-2 projects at a given time?
  • Am I interested in a test run of free PM software before committing to a paid plan?
  • Do I work with a team of freelancers?
  • Do I manage remote teams?
