  • Workflow Automation: I evaluate whether the tool lets you build rules like auto-assigning tasks when a status changes or triggering notifications when a deadline is approaching.
  • Time & Resource Tracking: Workload views and time logging help project managers spot over-allocated team members before burnout hits, so I look at how granular these features are.
  • Reporting & Dashboards: Customizable dashboards that pull metrics across multiple projects give leadership the visibility they need without requiring manual status updates every week.

For agency teams, I evaluate whether a tool offers client and guest access so external stakeholders can review work without occupying a paid seat.

Beyond Features

Pricing structure matters a lot when switching from Hive—I check whether per-user costs stay reasonable as your team scales, and whether a free tier exists for smaller groups still evaluating the tool. Integration depth is equally important. A PM platform that syncs with Slack, Google Drive, and GitHub keeps your existing stack intact instead of forcing workarounds.
