Why Trust Our Software Recommendations

ClickUp Overview

In my opinion, ClickUp is one of the most versatile project management software options out there, especially for teams that want to centralize everything in one place. Compared to competitors like Asana or Trello, it offers way more flexibility and customization, which is great if you’ve got complex workflows.

Unlike other big platforms in the market, where you can sense the patchwork approach to new features, most features within ClickUp integrate seamlessly and give you fewer reasons to leave the software for other work. You can send emails, brainstorm, start screen recordings, and even join Zoom meetings without leaving the tool. That said, it can feel overwhelming at first—there’s a steep learning curve if you’re not used to that level of depth.

I think it’s best suited for fast-paced teams who can spend a bit of time upfront learning the system and want the freedom to build out their own processes. If you’re looking for simplicity or just need a basic task board, you might be better off with something lighter. But if you want lots of features, good value, and room to scale, ClickUp’s a strong contender.

Is ClickUp Right For Your Needs?

Who Would be a Good Fit for ClickUp?

ClickUp is perfect for creative agencies, tech startups, and marketing teams that need to manage multiple projects and deadlines. Its customizable interface and strong task management features allow your team to tailor workflows and keep every project organized. If your work requires real-time collaboration and communication, ClickUp’s capabilities make it an ideal choice for improving team productivity and efficiency.

Organizations that work with non-standardized projects, which typically require non-standard fields to capture information, can also benefit from ClickUp's flexible platform and custom fields.

  • Creative agencies

ClickUp's customizable dashboards and task automation features can help you manage client projects, track feedback and revisions, and keep creative teams aligned.

  • Tech startups

ClickUp supports agile development with sprints and real-time collaboration features that can help teams iterate quickly.

  • Marketing teams

You can streamline campaign planning and execution using ClickUp’s task dependencies and timelines.

  • Remote teams

ClickUp's real-time updates and collaboration tools keep everyone on the same page, no matter where they are.

  • Product managers

ClickUp’s roadmaps and goal-tracking features help you align development with business objectives.

  • Freelancers

You can track your tasks and deadlines efficiently with ClickUp’s simple task and time management tools.

Who Would be a Bad Fit for ClickUp?

ClickUp may not suit small teams or solo entrepreneurs who need a straightforward tool without a steep learning curve. Its extensive features can overwhelm users who need simple task tracking without customization. If your team prefers traditional project management methods or lacks the time to explore its complex functionalities, you might find ClickUp’s rich feature set more of a hindrance than a help. Companies that need only a subset of the features offered by ClickUp should probably look for a specialized tool instead.

  • Small businesses

ClickUp’s complexity might be overkill for those needing basic task management.

  • Non-tech savvy users

ClickUp’s comprehensive features can overwhelm teams without the tech skills or time to invest in setup and training.

  • Simple task tracking

If you only need to track basic to-do lists, ClickUp’s features can seem excessive.

  • Traditional offices

Teams relying on paper-based methods may find ClickUp’s digital platform challenging.

  • Short-term projects

The setup time for ClickUp might not be worth it for short-term or one-off projects.

  • Budget-conscious teams

If your budget is tight, the time investment to fully utilize ClickUp may not seem justified.

Our Review Methodology

How We Test & Score Tools

We’ve spent years building, refining, and improving our software testing and scoring system. The rubric is designed to capture the nuances of software selection and what makes a tool effective, focusing on critical aspects of the decision-making process.

Below, you can see exactly how our testing and scoring works across seven criteria. It allows us to provide an unbiased evaluation of the software based on core functionality, standout features, ease of use, onboarding, customer support, integrations, customer reviews, and value for money.

Core Functionality (25% of final scoring)

The starting point of our evaluation is always the core functionality of the tool. Does it have the basic features and functions that a user would expect to see? Are any of those core features locked to higher-tiered pricing plans? At its core, we expect a tool to stand up against the baseline capabilities of its competitors.

Standout Features (25% of final scoring)

Next, we evaluate uncommon standout features that go above and beyond the core functionality typically found in tools of its kind. A high score reflects specialized or unique features that make the product faster, more efficient, or offer additional value to the user.

We also evaluate how easy it is to integrate with other tools typically found in the tech stack to expand the functionality and utility of the software. Tools offering plentiful native integrations, 3rd party connections, and API access to build custom integrations score best.

Ease of Use (10% of final scoring)

We consider how quick and easy it is to execute the tasks defined in the core functionality using the tool. High scoring software is well designed, intuitive to use, offers mobile apps, provides templates, and makes relatively complex tasks seem simple.

Onboarding (10% of final scoring)

We know how important rapid team adoption is for a new platform, so we evaluate how easy it is to learn and use a tool with minimal training. We evaluate how quickly a team member can get set up and start using the tool with no experience. High scoring solutions indicate little or no support is required.

Customer Support (10% of final scoring)

We review how quick and easy it is to get unstuck and find help by phone, live chat, or knowledge base. Tools and companies that provide real-time support score best, while chatbots score worst.

Customer Reviews (10% of final scoring)

Beyond our own testing and evaluation, we consider the net promoter score from current and past customers. We review their likelihood, given the option, to choose the tool again for the core functionality. A high scoring software reflects a high net promoter score from current or past customers.

Value for Money (10% of final scoring)

Lastly, in consideration of all the other criteria, we review the average price of entry level plans against the core features and consider the value of the other evaluation criteria. Software that delivers more, for less, will score higher.
